Privacy notice.
This page explains what personal data we handle when you visit votionize.com or get in touch, why we do it and what rights you have. It is the notice required by Article 13 of Regulation (EU) 2016/679 (GDPR).
Who handles your data
The data controller is Votionize. For any question about your data, write to info@votionize.com.
We have not appointed a data protection officer (DPO): our activity does not fall under the cases where one is required.
What we handle, why, and on what legal basis
- Enquiries and quote requests. When you fill in the form or write to us by email, WhatsApp or Instagram, we handle your name, your business name, your email, your phone number (if you give it), what you write and the language of the page you contacted us from. We use them only to reply and prepare your quote. Legal basis: steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR). Name, business and email are needed to reply; everything else is optional.
- Client relationship. If you become a client, we handle the data needed for the contract, invoicing and our accounting and tax duties. Legal basis: performance of the contract (Art. 6(1)(b)) and legal obligations (Art. 6(1)(c)).
- Browsing data. For every request, the server hosting the site logs the IP address, date and time, the page requested and the browser type. This keeps the site running and protects it from abuse and attacks. Legal basis: legitimate interest (Art. 6(1)(f)).
- Choosing your language. When you open the site’s main address we read your browser’s language and, if that is not enough, the country estimated from your IP address, only to show you the site in Italian, English or Spanish. This is not stored. Legal basis: legitimate interest (Art. 6(1)(f)).
- Protecting the form. To limit repeated submissions, the server keeps a hashed fingerprint of your IP address for one hour at most. Legal basis: legitimate interest (Art. 6(1)(f)).
- Cookies. The site uses essential cookies and no tracking tools. Details are in the cookie policy.
We do not need sensitive data (health, opinions, criminal records): please leave it out of your messages.
Who receives it
- Hostinger International Ltd. (61 Lordou Vironos, 6023 Larnaca, Cyprus), which hosts the site and our email, as a data processor (Art. 28 GDPR). The contact form runs on our own space at Hostinger, with no outside services.
- Advisers who help us with accounting and tax, for client data only.
- Public authorities, when the law requires it.
If you write to us on Instagram or WhatsApp, Meta also handles your data as an independent controller, under its own terms. We do not sell or pass your data on to anyone, and we do not use it to send you advertising.
Where the data is kept
The site and our email are hosted in Hostinger’s data centres in the European Union (France). Hostinger’s content delivery network may serve pages from nodes outside the European Economic Area that are close to the visitor: in that case the safeguards of Chapter V GDPR apply (adequacy decisions or standard contractual clauses).
How long we keep it
- Enquiries that go no further: 12 months from the last message, then we delete them.
- Client data, contracts and invoices: 10 years, as Italian law requires (Art. 2220 of the Italian Civil Code).
- Server logs: for as long as the hosting provider keeps them, normally a few weeks.
- Cookies: lifetimes are listed in the cookie policy.
Your rights
At any time you can ask us to access your data, correct it, delete it, restrict its use, receive it in a portable format, and object to processing based on legitimate interest (Arts. 15–22 GDPR). Where processing relies on consent, you can withdraw it whenever you like, without affecting what was done before.
Just write to info@votionize.com: we reply within one month. If you believe your data is being handled unlawfully, you can lodge a complaint with the Italian data protection authority, the Garante per la protezione dei dati personali, or with the authority of the country where you live.
No automated decisions
We make no decisions based solely on automated processing and we do no profiling. The site is aimed at businesses and professionals, not at children.
Changes
If the way we handle data changes, we update this page and the date at the top. For significant changes that affect you, we let you know directly when we have a way to reach you.
